Setup and Teardown

Booth Setup 

Gold setup: Wednesday at 12:00 p.m.
Gold Teardown: Must be complete by 9:00 p.m. Wednesday

Platinum and Diamond Setup: Begins Wednesday at 10:00 a.m.
Platinum and Diamond Teardown: Must be complete by Friday at 12:00 p.m.

All sponsors receive free wireless access and free power. And, we provide just about everything else you’ll need too. Tables, chairs, and flooring are all included. We try our best to keep this simple for you. And remember, this is a conference based on building relationships and networking. The best times to meet our members are during the conference. Your registration includes all sessions, events, activities, meals, and beverages. It’s all included!

Booth Placement

Placement for the Sponsor Showcase area is determined by the Board. Placement requires payment in full. First fully paid is first to select in the order payment was received.

Group Shipments and Storage

If it is necessary to ship materials to the Hotel prior to the Group arrival, such as literature or equipment, arrangements must be made with your Catering Manager prior to the shipment. Due to limited storage space, we request that shipments arrive no sooner than 72 hours prior to the scheduled event date. Storage and handling charges of $5 per package, per day, will be imposed for shipments arriving more than 72 hours before the event, as well as shipments that are not removed within 48 hours following the event. Lodging

All resort lodging is booked for the attendees. Please do not call the resort since they will not be able to assist you. Below are the lodging options for Sponsors. 

Gold and Platinum Sponsors

Gold and Platinum sponsors are not provided with housing by ACPE; we expect these sponsors to obtain their own housing outside of The Resort using the links provided below. No one at the Resort or ACPEnw will be able to assist in this process.

Diamond Sponsors

ACPE Reserves housing on the property and near the property for Diamond Sponsors; however, Diamond Sponsors must pay for this housing. Additionally, this housing is first come, first serve, and can run out. If so, Diamond sponsors are on their own to locate additional housing if necessary.

Conference Attendee Details

Demographics

ACPE’s conference is aimed at leadership-level IT professionals, including CIOs, CTOs, executive directors, directors, and network, server, and system administrators. Our conference will sell out as has been the case for the last five years. This means there will be ~500 conference attendees. ~400 of those are leadership and support staff from K-12 IT departments. Our survey of those attendees shows over 80% of them are the decision-makers or provide significant influence for all IT spending in their school district. The other ~100 attendees are staff attending through sponsorships.

Lead Retrieval

The attendee list is distributed one week before the conference. A final attendee list is distributed one week after the event to account for any last-minute changes. 

Prizes and Giveaways

Sponsors cannot give any products of value (over $50) directly to attendees. 

If you do have products to give away, ACPE accepts donations that will be randomly given away to its members during the closing ice-cream social.
